Privacy Policy

Crown Cleaning (“Crown Cleaning,” “we,” “us,” or “our”) values your privacy. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit our website, request a quote, book services, communicate with us, or otherwise interact with our business (collectively, the “Services”).

This Policy is intended to provide “notice at collection” and other disclosures required under applicable privacy laws, including the California Privacy Protection Agency / California Department of Justice guidance for the California Consumer Privacy Act where applicable.

1) Information We Collect

We may collect the following categories of information, depending on how you use our Services:

A. Identifiers & Contact Information

  • Name, email address, phone number, mailing/service address, and other contact details you provide.

B. Customer Records & Service Details

  • Quote requests, service preferences, scheduling details, property access notes, cleaning checklists, special instructions, communications (calls, texts, emails), and customer support records.

C. Photos, Videos, and Service Documentation

  • Before/after photos, condition documentation, and—if requested—walkthrough videos (including appliance/system verification such as running stove/oven, dishwasher, lights, faucets, etc.).

  • Documentation may incidentally capture items within the service area (e.g., belongings visible in the space). We recommend you secure sensitive documents/valuables before service.

D. Payment & Transaction Information

  • Invoice details, payment status, amounts, and transaction metadata.

  • If you pay by card/bank transfer through a payment provider, that provider may collect payment credentials (we typically do not store full card numbers).

E. Internet/Network & Device Information

  • IP address, browser type, device identifiers, pages viewed, approximate location (derived from IP), referral URLs, and similar website usage data.

F. Cookies & Similar Technologies

  • Cookies and similar tracking tools used for site functionality, analytics, security, and preferences.

  • Our website is hosted on Wix, which uses cookies and similar technologies; laws may require notice (such as a cookie banner) and disclosures in your privacy policy.

G. Optional Account/Subscription Information (if you enable it)

  • If you add newsletter sign-ups, customer portals, memberships, chat widgets, or booking accounts, we may collect the information needed for those features (such as login, preferences, and message history).

H. Sensitive Personal Information (generally not requested)

  • We do not intentionally request sensitive personal information (e.g., government ID numbers, health data). If you voluntarily share sensitive information in communications, we may retain it as part of our records.

2) How We Use Information

We use information to:

  • Provide services, quotes, scheduling, customer support, and quality control

  • Communicate with you (confirmations, updates, issues found, invoices/receipts)

  • Provide documentation (photos/videos) to you or authorized contacts you designate (e.g., property manager/office contact)

  • Process payments and maintain accounting/tax records

  • Operate, secure, and improve our website and business operations

  • Prevent fraud, abuse, and security incidents

  • Comply with legal obligations and enforce our policies/agreements

3) Legal Bases and “Notice at Collection” Disclosures (California)

Where the California Consumer Privacy Act applies, businesses must describe categories collected, purposes, whether sold/shared, and retention periods.

We do not sell personal information for money.
We also do not knowingly “share” personal information for cross-context behavioral advertising unless you enable advertising/retargeting tools (e.g., certain ad pixels). If you enable such tools, you may need to add a “Do Not Sell or Share My Personal Information” link and update cookie preferences accordingly.

4) How We Disclose (Share) Information

We may disclose information to:

A. Service Providers (Vendors)
Companies that help us operate, such as website hosting, forms, email/SMS communications, scheduling/CRM tools, payment processors, cloud storage, analytics, and security providers. They may process information on our behalf under contractual or similar restrictions.

B. Authorized Recipients You Identify
For example, property owners, property managers, office managers, or other designated contacts you ask us to send documentation and updates to.

C. Legal, Safety, and Business Transfers

  • If required by law, subpoena, court order, or to protect rights, safety, and security.

  • In connection with a merger, acquisition, financing, reorganization, or sale of assets.

5) Photos, Videos, and Documentation Practices

To support quality control and make client/property manager workflows easier, we may capture before/after photos and (upon request) verification videos of appliances/systems.

  • Purpose: quality assurance, proof of condition, documentation for clients/owners/managers, dispute prevention, and internal training (as appropriate).

  • Sharing: documentation is shared only with you and/or authorized contacts you designate.

  • Marketing: we will not use your photos/videos for marketing without your permission (unless the content is fully anonymized and does not identify you or your property).

  • Your choices: you may request we avoid photographing certain areas (where feasible) or that documentation be limited to specific rooms/items.

6) Cookies, Analytics, and Advertising

We (and our platform providers) may use cookies and similar technologies for:

  • Essential site functionality and security

  • Preferences and performance

  • Analytics (understanding site traffic and usage)

You can control cookies through your browser settings, and (where available) our cookie banner/preferences tool. Wix provides guidance that privacy laws may require cookie notice and disclosure of cookie use.

7) Email and Text Communications

Service messages: We may contact you for service-related reasons (scheduling, arrival updates, issues found, invoices, receipts).
Marketing messages: If you opt in (or where permitted), we may send promotions and updates. You can opt out at any time:

  • Email: use the unsubscribe link in the message (and we will honor opt-outs). The Federal Trade Commission summarizes key CAN-SPAM requirements such as truthful headers/subject lines and opt-out handling.

  • SMS (if enabled): reply STOP (message/data rates may apply).

8) Data Retention

We retain information for as long as reasonably necessary for the purposes described in this Policy, including providing services, maintaining business records, resolving disputes, preventing fraud, and complying with legal/tax obligations. California notice guidance also expects a retention disclosure.

Typical retention (customize):

  • Service records, invoices, and communications: up to 7 years (tax/accounting and dispute needs)

  • Photos/videos documentation: up to 12 months after service completion, unless needed longer for dispute resolution, legal obligations, or client request

  • Website logs/analytics: up to 26 months (varies by tool/settings)

You may request deletion where applicable (see Section 10), but we may retain certain information if needed for legal, tax, security, or dispute-related reasons.

9) Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, misuse, loss, or alteration. However, no system can be guaranteed 100% secure.

Important: We do not promise “absolute security,” and this Policy should not be interpreted as a guarantee.

10) Your Privacy Rights

Depending on where you live and the nature of our business, you may have rights such as:

  • Access: request the categories and/or specific pieces of information we have about you

  • Deletion: request deletion (subject to exceptions)

  • Correction: request correction of inaccurate information

  • Opt-out: opt out of certain uses (e.g., marketing communications; potentially “sale/share” if applicable)

Where the California Consumer Privacy Act applies, consumers may have these rights and businesses must provide required notices.

How to submit a request:
Email us at [privacy@yourdomain.com] or call [your phone] with the subject line “Privacy Request.”
We may verify your request (e.g., by confirming email/phone or service address). Authorized agents may submit requests on your behalf where permitted by law.

11) Third-Party Links and Embedded Tools

Our website may include links or embedded tools operated by third parties (maps, scheduling, payment portals, chat widgets). Their privacy practices are governed by their own policies.

12) Children’s Privacy

Our Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.

13) Changes to This Privacy Policy

We may update this Policy from time to time. We will post the updated version on this page and update the “Effective Date.”
